This privacy notice explains how Anne McGuigan Hair and Beauty looks after the personal information you give us or that we learn by having you as a client and the choices you make about marketing communications you agree we may send you. This notice explains how we do this and tells you about your privacy rights and how the law protects you.

WHAT INFORMATION WE COLLECT ABOUT YOU

As a data controller we will only use your personal information if we have a legal basis for doing so.

We collect information about you when you book an appointment for a service or treatment, visit the salon for a service or treatment, buy a product, whether contact is online, on paper, by email or over the phone.

The information you give us may include your title, first and last name, address, email address, phone number, date of birth, relevant history which may suggest that a service or treatment should not go ahead or certain products should not be used (e.g. allergies, pregnancy, skin conditions), payment and transaction information, and CVs.

A telephone number is required on booking and will only be used at this time to ensure we can contact you regarding queries or re-arranging of appointments. Thereafter, once we have your full details and opt ins we may contact regarding legitimate interests e.g. offers, new services and legal requirements for some of our services, such as skin tests. For clients under the age of 16, we will only keep and use their personal information with the consent of a parent, carer or guardian. Our data collected is not intended for or directed at children under 13 years, our data collected is for adult user interaction only.

HOW INFORMATION ABOUT YOU WILL BE USED

In law, we are allowed to use personal information, including sharing it outside the salon only if we have a proper reason to do so, for example:

To fulfil a contract with you i.e. to provide the service or treatment you have requested and to communicate with you about your appointments

When it is in our legitimate interest i.e. there is a business or commercial reason to do so, unless this is outweighed by your rights or interests

When you consent to it: we will always ask for your consent to hold and use health and medical information.

Providers of our salon software system – I-Salon (Salon Software Solutions Ltd, with its principle place of business at Kingsley Road, Lincoln. LN6 3TA. Salon Software Solutions Ltd operates as a data processor on behalf of Anne McGuigan Hair and Beauty, the data controller)

Suppliers of our website – Orme Design - only for online booking (not applicable at this current time) and if you contact us via our website.

We have rigorous data protection and security policies in place with all our suppliers.

We will not share your information with any other third party without your consent except to help prevent fraud, or if required to do so by law. Furthermore, we will not sell, rent, lease or otherwise share your personal information other than as outlined in this Privacy Policy or without obtaining your consent beforehand.

MARKETING

We would like to send you information about products and services which may be of interest to you. We will ask for your consent to receive marketing information.

If you have consented to receiving marketing, you may opt out at a later date by logging into the I-Salon online preferences centre and checking or unchecking relevant boxes to adjust your marketing preferences or by following the opt out links on any marketing message sent to you or by contacting Anne McGuigan, Salon Owner by phone on 01525 383066 or by email info@annemcguigan.co.uk.

HOW LONG YOUR INFORMATION WILL BE KEPT FOR

After two years we will delete all your personal information, except for your name, relevant client history (e.g. allergy test records which we keep for 4 years) and financial transactions (which we are obliged to keep for 6 years).

When you contact us we may keep a record of your communication to resolve any issues that you might be facing, this information may be retained for as long as necessary to fulfil the purpose we collected it for, including for the purpose of satisfying any legal, accounting, or reporting requirement.

Information about unsuccessful job applicants will be deleted after four months. See our data retention policy for further information, including employee data.

WHERE YOUR INFORMATION IS KEPT

Your information is stored within the European Economic Area on secure servers provided by I-Salon. Any payment transactions are encrypted.

SECURITY

The security of your personal information is important to us, we follow generally accepted industry standards to protect your personal information submitted to us both during transmission and once we receive it.

We work with reputable, respected companies that help us ensure our IT systems are safe and secure to avoid loss, misuse or alteration of this information under our control. We also employ industry standard measures and processes for detecting and responding to inappropriate attempts to breach our system, however no method of electronic storage can be 100% secure.

CCTV

Our site is protected by circuit television (CCTV) systems throughout the premises as deemed necessary and anyone visiting the salon should expect all areas (other than those where use would contravene common decency) to be visible on a television monitoring system. Any information obtained from systems will be used with strict adherence to the GDPR. Information will be used for the prevention and detection of crime and to ensure compliance with our policies and procedures and our legal obligations. This may include using recorded images as evidence in disciplinary proceedings.

ACCESS TO YOUR INFORMATION AND CORRECTION

You have the right to request a copy of the personal information that we hold about you. This will normally be free, unless we consider the request to be unfounded or excessive, in which case we may charge a fee to cover our administration costs.

If you would like a copy of some or all your personal information, please contact Anne McGuigan, Salon Owner. We may need to request specific information from you to help us confirm your identity and ensure your rights to access your personal data. This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it, we may also contact you to ask you for further information to speed up our response.

We will try to respond to all legitimate requests within one month, occasionally it may take us longer than a month in case your request is particularly complex or you have made a number of requests. In this case we will notify you and keep you updated. We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information you think is inaccurate.

You have the right to ask us to object to our use of your personal information, or to ask us to delete, remove or stop using your personal information if there is no need for us to keep it.

CHANGE OF PURPOSE

We will only use your personal information for the purposes for which we collected it, unless we reasonably consider we need to use it for any other reason and that reason is compatible with the original purpose. If we need to use your personal information for any unrelated purpose, we will notify you in a timely manner and we will explain the legal basis which allows us to do so.

COOKIES

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. If we receive a formal written complaint we will follow up with the person making the complaint. We will work with the appropriate regulatory authorities to resolve any complaints that cannot be resolved directly.
